Let’s play a little content creation Mad Lib:
"Welcome to our page! We are passionate about delivering innovative solutions that empower growth, drive results, and elevate success."
Be honest, does that sound like you? Or does it sound like a corporate robot trapped in a LinkedIn echo chamber?
If you’ve ever sat down to write a caption, website blurb, or email and thought: "This doesn’t sound like me at all…” You’re not alone.
At Civic Media Consulting, helping businesses find and own their brand voice is one of our favourite things to do. Because your audience doesn’t want perfect, they want real. And real gets remembered.
So, how do you go from blank page to bold, clear brand voice? Let’s break it down.
✍️ Step 1: Start With Your Real Voice, Not a Script
Your voice is already in you, you use it every day in emails, in DMs, in voice notes to friends that start with “OK SO…”
The goal isn’t to create a voice from scratch. It’s to capture the way you and your team naturally communicate when you’re not overthinking it.
Try this: Open your Notes app and record yourself explaining what your business does, like you’re talking to a new friend at a party. Now, transcribe it. THAT is your starting point.
🧭 Step 2: Define Your Voice Like It’s a Personality (Because It Is)
Let’s play brand therapist. Ask yourself:
If your brand was a person, how would they speak?
Are they calm and polished? Bold and quirky? Strategic and warm?
Do they use emojis? Slang? Full stops? Oxford commas?
Here’s how we helped one of our clients, Girl Squad Vancouver, evolve their tone: They went from generic captions to empowering, real-talk posts full of confidence, just like you would talk to your girlfriends, because that’s who they are offline too. Once we matched the vibe, their engagement exploded. (And their DMs got busier.)
🔁 Step 3: Adjust the Dial, Not the Voice
You don’t need one voice for Instagram and a different one for your website. You just need to adjust the dial depending on the platform.
Think of it like this:
Instagram: Conversational, behind-the-scenes, emoji-friendly
Website: Clear, confident, with a touch of polish
LinkedIn: Smart, thoughtful, slightly more structured
Emails: Personal, direct, like a friend who respects your time
Our job? Helping you create a voice system that flexes across channels without losing its identity.
🧩 Step 4: Create a Brand Voice Guide (We Made You a Mini One 👇)
Consistency is everything. A brand voice guide keeps you (and your team or future hires) on the same page, literally.
Here’s what to include:
3–4 voice traits (e.g. “Confident, Relatable, No-Fluff”)
Do’s and Don’ts (e.g. “Do use contractions, don’t use passive voice”)
Sample sentences
Your go-to phrases or taglines
📣 Step 5: Use It Everywhere
Once you’ve nailed your brand voice, let it shine:
Bios and About pages
Social captions
Emails and newsletters
Website headlines
Video scripts
Even your Out of Office messages (yes, really)
Voice consistency builds trust, and trust leads to connection, and connection leads to, you guessed it, results.
